Before you start
You need training management access and can act only on people and needs within your scope. External training proves completed learning; a need describes learning still required and follows a separate workflow.
Manage a training need
- Open My learning → Requests → Needs.
- Select a need visible to you.
- Review its description, votes, and conversation.
- Adjust the audience if other people must be included.
- Create a draft course, link a plan action, or decline with a reason.
You can also comment and vote. A linked course or action drives the need's status. Do not widen the audience beyond the people who need the information.
Review external training
- Open the Dashboard. Pending external training appears as an attention item; open it to review.
- Check the person, title, provider, date, hours, and evidence.
- Select the matching published course.
- Add internal notes if needed, then approve or reject with a reason.
You cannot review your own submission or someone outside your scope. Approval creates an Approved completion, keeps evidence, and grants configured rewards. Rejection creates no history.
Warning
Rejecting records the reason but creates no training history or completion rewards. Check the evidence and matching course before you decide.
If no suitable course exists, create a draft from the review. This does not approve the submission: publish the course, return from the dashboard attention item, and record the decision.
Common problems
- You cannot open a submission: check scope and management permission.
- You cannot approve your own training: another authorised person must review it.
- Creating a course did not close it: publish the course, return, and decide.
- Evidence is missing: ask the person to edit the pending submission.
