Before you start
You need training management access and must own, co-author, or review the course. The management catalogue shows courses where you have one of those roles; seeing a shared course as a learner does not grant editing rights.
Understand my course role
- The owner organises the course and collaborators.
- A co-author prepares content.
- A reviewer checks the course and can decide publication.
The person who creates the course can publish it unless an active approval rule applies to courses. Assigned reviewers are optional and can still publish or request changes. A course approval rule sends the course through the company approval process. Reviewers cannot edit the content they assess.
Prepare and submit changes
- Open Course catalog. It shows the current year; choose another year to see older courses. Drafts, courses in review, evergreen courses, and courses without dated events stay visible in every year.
- Find an editable Draft course.
- Review details, content, surveys, skills, documents, and collaborators.
- Make changes and send it In review.
Training managers can correct published content without unpublishing the course.
Owners, co-authors, and training managers can use ⋯ → Move to draft to unpublish a course. Confirmed enrollments with pending outcomes block this action; the warning recommends Duplicate as draft instead. Completed, waitlisted, withdrawn, and cancelled enrollments do not block it. Returning to draft preserves history, stops new enrollments, and resets previous approval.
Review and publish a course
- Open an assigned course In review, or use Pending review.
- Check its content and rewards.
- From Dashboard, choose Publish or Request changes. A change request requires a note.
- Archive unused courses only when no future event or active path assignment blocks it.
The states are Draft, In review, Published, and Archived. Publishing enables the single Create event action, where you choose Scheduled event or Available anytime. People only see the course when that event is published; publishing the course does not register anyone.
Warning
Archiving cannot be undone. The course disappears from new selections and discovery but remains available through historical links.
Review outcomes and feedback
Open a course you manage to review events, participants, outcomes, and feedback. Feedback does not replace history or training reports.
Common problems
- You cannot edit: you may be a reviewer, or a training manager may need to correct the published content.
- You cannot publish: a course approval rule is active, so the configured approvers must decide.
- It is absent from management: learner access does not make you a collaborator.
- It cannot be archived: check future events and active path assignments.
