Configure fast check-in and overtime

Set up a shared kiosk and understand how the overtime balance is generated and adjusted. This article is for administrators.

Before you begin

Confirm which workplaces will use a shared device and who must clock in exclusively through this method. For overtime, review the compensation policy and applicable schedule before making manual adjustments.

Configure fast check-in

  1. Open Schedule settings.
  2. Under Fast check-in page, open the link on the shared device.
  3. Display or distribute the QR code if employees will access it from their phones.
  4. Test it with an authorised employee.
  5. Confirm that Talento shows the correct start or finish action.

You can specify in an employee's personal details that they use only this method. That employee will no longer be able to clock in from the standard control on Home.

Warning

The access code identifies an employee. Give it to them privately and change it if it is no longer confidential.

Manage the overtime balance

  1. Open Leave days and overtime.
  2. Select the year and open the employee.
  3. Review movements marked Automatic, Manual, and Manual override.
  4. Use add time to recognise time towards the balance, with a date and explanation.
  5. Use redeem time to deduct it as time off, payroll, or another category.
  6. Confirm the resulting balance before recording another movement.

Adding or redeeming hours changes the employee's working-time balance. Use the actual date and record the agreed reason.

Understand automatic overtime calculation

Talento uses finished, approved clock-in entries, the schedule, and rules such as absences, public holidays, and on-call duties:

  • with a daily target, it reconciles each day;
  • with a flexible weekly schedule, it calculates Monday to Sunday and records the movement on Sunday;
  • when there is a Pending recovery, it offsets the oldest debt first;
  • a Manual override replaces the automatic calculation for the period;
  • Manual adjustments are added to the automatic result.

If an approved clock-in entry, schedule, absence, public holiday, or on-call duty changes, Talento reconciles the affected periods again in the background.

Result

The kiosk will be available to authorised employees, and the overtime report will show traceable movements with the updated balance.

Common problems

  • An automatic movement appears incorrect: correct the clock-in entry, approval, or configuration that caused it; do not try to delete it from the employee's record.
  • The balance does not change after approval: confirm that the clock-in entries are finished and wait for reconciliation to complete.
  • An employee can still clock in from Home: check whether they are set to use fast check-in exclusively.
  • Redeeming time created time off: check the related record before adding another movement.
