Configure schedules and shifts

Define working-day rules, create working-time ranges, and prepare reusable rotations. This article is for people who configure or administer this feature.

Before you begin

Talento separates reusable rules from individual assignments:

  • A schedule category contains the shared rules for a type of working day.
  • A category can contain one or more dated schedules for different periods.
  • Each schedule defines working-time ranges for the days of the week.
  • An assignment applies a schedule category or shift to an employee for a date range.
  • A rotating shift moves through several schedule categories over a cycle of weeks.

This structure lets a company apply the same plan to many people without entering working hours separately for each employee.

Create a schedule category

  1. Open Schedule categories.
  2. Select New schedule category.
  3. Enter a name that employees and managers will recognise.
  4. Configure clock-in, public-holiday, and rounding rules.
  5. Define additional-hour treatment, the night period, and expected weekly hours.
  6. Save the category.

Create separate categories when the rules differ, not merely because one start time changes. A flexible working day and a strict fixed schedule, for example, usually need different categories.

Category rules can restrict clock-ins to scheduled days, round entry times, define night work, or control how Talento closes activity that runs beyond the planned end.

Expected weekly hours also determine how overtime for a flexible schedule is reconciled. With a weekly target, Talento waits until the week ends and compares the approved total with that target; for other schedules, it calculates the excess each day. If you change the target, public holidays, or the applicable schedule, Talento recalculates the affected periods in the background.

Define a schedule's working times

  1. Open a category under Schedule categories.
  2. Add a schedule and set when it becomes valid and, if needed, when it ends.
  3. Open the new schedule.
  4. Add working-time ranges for each relevant day of the week.
  5. Mark free or flexible ranges when employees do not have fixed start and end times.

To change hours without rewriting history, create a new schedule version with a later start date. Talento uses the version active for each date.

Tip

Review a complete week before assigning the category. Check breaks, non-working days, and any range that crosses midnight.

Set up rotating shifts

  1. Open Shifts.
  2. Create a shift and define the length of its weekly rotation.
  3. Add schedule categories in the order they should repeat.
  4. Save the shift.
  5. Assign employees to the appropriate starting position in the rotation.

For example, a three-week rotation might combine morning, afternoon, and rest categories. Talento advances each assigned employee to the next category as the cycle moves forward.

Configure blocked days

Blocked days prevent employees within the selected visibility from requesting absence categories that deduct an allowance during specified periods. They are useful for shutdowns, stocktakes, campaigns, or other dates when company policy does not allow annual leave.

  1. Open Blocked days from Settings > Schedules.
  2. Select Add blocked days.
  3. Enter a name that explains the reason for the restriction.
  4. Set the start and end dates.
  5. Save the period, then open it for editing and use visibilities to review who it covers.

The restriction only applies to employees within its scope. If a request can still be made, check the dates, visibility, and whether the absence category deducts available days.

Warning

A blocked day does not create an absence or change an assigned schedule. It prevents certain requests during that period; communicate the rule to the team before applying it.

Result

You can confirm the result on the settings page, in the list, or in the status described in the steps above.

Common problems

If an option does not appear, check the enabled module, the specific permission, and the record scope. If the configuration is correct and the problem continues, keep the message shown and contact support.
