Request changes and exchanges

Ask for another schedule, exchange it with another employee, or find cover for an on-call duty. This article is for people who perform this task.

Before you begin

This feature lets you propose a temporary adjustment without directly changing the plan. The request remains pending until a manager reviews it. Once approved, Talento applies the new schedule or on-call cover.

You can request a different schedule for a date range, exchange your schedule with another employee, or manage one on-call duty.

Information

Schedule changes use the Absences permission. If the option is missing, ask an administrator to review your access and confirm that scheduling is enabled.

Request a schedule change

  1. Open My schedule changes.
  2. Select New request.
  3. Choose Regular schedule.
  4. Enter the first and last dates.
  5. Select the schedule category or shift you need.
  6. Explain the reason and save.

Only active schedules available for the complete period can be selected. The request remains pending until it is approved or rejected.

Tip

State what needs to change and why the selected dates are correct. A complete request is easier to review and less likely to need follow-up questions.

Exchange schedules with another employee

  1. Create a new Regular schedule request.
  2. Enter the exchange dates.
  3. Enable Employee swap.
  4. Find and select the other employee.
  5. Add the context of your agreement and save.

On approval, Talento exchanges both employees' schedules for the requested dates.

Warning

Agree the exchange with the other employee before submitting it. Approval changes both schedules and can affect each person's clock-in entries and availability.

Request cover or an on-call exchange

  1. Open New request and choose On-call coverage change.
  2. Select one of your upcoming on-call duties.
  3. Choose the request type:
    • Manager selects cover: you identify the duty and the manager chooses a replacement.
    • Request cover: you propose a replacement employee.
    • Reciprocal exchange: you select another on-call duty and the two employees exchange assignments.
  4. Explain the reason and save.

Talento offers future duties within the available period. For a reciprocal exchange, the other duty must belong to an accessible employee and cannot already have incompatible cover.

Review or change a request

My schedule changes lists requests for the current year and their status.

  • A pending request can be edited or deleted.
  • An approved request is locked and applied to the plan.
  • A rejected request remains as history; create a corrected request if needed.

After approval, check Calendar to confirm that the change appears on the expected dates.

Result

You can confirm the result in your personal area or in the status described in the steps above.

Common problems

  • Confirm that the date range is valid and the selected schedule is active for the complete period.
  • For an employee exchange, make sure the other person is selected.
  • For on-call cover, select the assignment and replacement required by the request type.
  • Check that the duty does not already have overlapping cover.
  • A missing employee may be outside your access scope.
