Record examinations and EPI deliveries

Document medical examinations and protective-equipment deliveries with their follow-up dates. This article is for people who configure or administer this feature.

Before you start

Risk management brings health protocols, medical examinations, deliveries of personal protective equipment (PPE, labelled EPI in Talento), risk assessments, and preventive measures together. The dashboard uses record dates and statuses to highlight what needs attention.

Information

These pages are available only to administrators when the Risk management module is active. The medical-examination and EPI-delivery lists include active employees in the company.

Warning

Medical examinations contain particularly sensitive information. Record only what occupational risk management requires, limit notes and attachments to relevant information, and do not share or export this data outside authorised channels.

Prepare the data that the records will use:

  • create the health protocols that you want to associate with medical examinations;
  • check that the required job positions and offices already exist;
  • confirm that the items you intend to issue are configured as EPI in the catalogue;
  • agree who will be responsible for each risk assessment and preventive measure.

A medical examination does not require a health protocol, and an assessment does not require a job position or office. However, adding these relationships makes records easier to find and review later.

Record a medical examination

In Medical examinations, select New examination and complete:

  1. the employee and, where applicable, health protocol;
  2. the examination date and type: initial, periodic, return to work, or special;
  3. the result: pending, fit, fit with limitations, or unfit;
  4. who performs it, the medical centre, and only the strictly necessary notes;
  5. the next examination date and, where applicable, authorised attachments.

The next examination date is optional. If entered, it must be later than the examination date. The detail page shows its follow-up status as follows:

Follow-up status When it appears
Not scheduled There is no next examination date
Follow-up overdue The next date is today or earlier
Due soon The next date falls within the next 30 days
Scheduled The next date is more than 30 days away

Use the employee, protocol, type, result, or date-range filters to prepare follow-up work.

Important

Do not copy diagnoses or complete medical histories into the notes. Talento records the preventive outcome; clinical documentation must remain in the system and under the custody required by your organisation.

Record an EPI delivery

In EPI deliveries, create a delivery and enter the employee, item, delivery date, quantity, person delivering it, and, where applicable, expiry date and notes.

Only items whose type is already configured as EPI are available. You cannot manage this setting or the item's service life from Risk management. If an item is missing, check the catalogue with the person responsible for the account before recording the delivery.

When an item has a defined service life, Talento calculates the expiry date if you leave it blank. The detail page shows its validity as No expiration date, Expired, Expiring soon—within the following 30 days—or Valid.

The detail page also shows the receipt as Receipt signed or Signature pending, but it does not provide an action to request or record the signature. Complete the signature through the process established by your organisation. You can filter the list by employee, item, delivery date range, expired, expiring soon, or unsigned.

Result

You can verify the result on the settings page, in the list, or through the status described above.

Common problems

If an option is missing, check that the module is active and that you have the required permission and record scope. If the configuration is correct and the problem continues, keep the message shown and contact support.
