Before you start
The Projects area keeps shared work on a board. A project can have dates, hour and cost limits, workflow lists, and assigned tasks. Within a task, the team can report progress, discuss the work, break it into actions, and record time or expenses.
The Projects page highlights pinned projects, outstanding task counts, and the next task or action. This gives you a practical starting point without opening every board.
Information
You only see projects available to you. Access to the feature and the ability to create or edit work depend on the subscription, your permissions, and the visibility set by the company.
Find my projects
- Open Projects.
- Review each project's status, dates, and progress.
- Check its next task and next pending action.
- Pin frequently used projects to keep them at the top.
- Open a project to enter its board.
The initial view excludes archived projects. Use the filters to search by name or status when you need to find older work.
Work on a task
Open a task from the project board to review its:
- category and description;
- dates and progress percentage;
- assigned employees;
- recorded hours and expenses;
- comments and shared files.
Use comments for decisions and context the team needs to retain. When the task needs smaller steps, open Actions and create action lists with their own items and deadlines.
Tip
Keep the description as the stable definition of the task and use comments for updates. A new participant can then understand the work without reconstructing the full conversation.
Update progress
Open the task menu and select Update progress. Enter the latest percentage and add an explanation or file when it helps others understand the change.
Project progress is the average of its active tasks. Updating a task changes the project summary automatically. Moving a task into a list configured as complete sets it to 100%.
Only use 100% when the expected result is genuinely finished. If approval or delivery is still outstanding, report the actual progress and state the next step.
Record actions, time, and expenses
Each task has dedicated areas for:
- Actions, for smaller steps and action lists;
- Activity, for time spent on the task;
- Expenses, for costs and supporting documents.
Activity and expense records contribute to the totals for both the task and project. Select the correct employee, date, time, and amount so work from different participants is not mixed together.
See Time tracking and Expenses for the complete rules for those records.
Result
The task and project summaries reflect the latest progress, activity, expenses, and collaboration.
Troubleshooting
If an option is missing, it may depend on your permissions, active modules, or company configuration. Ask an administrator to review your access rather than repeating the task or choosing an unsuitable alternative.
