Before you start
The Projects area keeps shared work on a board. A project can have dates, hour and cost limits, workflow lists, and assigned tasks. Within a task, the team can report progress, discuss the work, break it into actions, and record time or expenses.
The Projects page highlights pinned projects, outstanding task counts, and the next task or action. This gives you a practical starting point without opening every board.
Information
You only see projects available to you. Access to the feature and the ability to create or edit work depend on the subscription, your permissions, and the visibility set by the company.
Create a project
- Open Projects.
- Select New project.
- Enter a name and a description of the intended outcome.
- Add start and end dates when known.
- Set hour or cost limits when you want to compare plans with actual use.
- Choose a status and add useful search tags.
- Save the project.
Task dates must fall within the project's dates. If the end date is not known yet, leave it blank and add it later.
Organise the board and assign tasks
Create lists that represent clear stages, such as To do, In progress, and Completed. Within each list:
- select Add task;
- enter its name, category, dates, and description;
- set hour or cost limits when they need monitoring;
- assign a primary employee;
- open the saved task to add more participants.
Drag lists and tasks to reorder the board. A list can automatically mark tasks as complete, and a paused list removes its tasks from active-progress calculations.
Warning
Moving a task into a list that marks work complete changes its progress to 100%. Check the list setting before moving several tasks at once.
Control dates, hours, and costs
The project summary shows progress, due dates, and available delivery figures. Open its tasks to compare recorded hours and expenses with their limits.
Review regularly:
- overdue tasks below 100%;
- upcoming actions without an owner or deadline;
- recorded hours against planned limits;
- accumulated expenses against budget;
- projects that no longer need active follow-up.
Archiving removes a project from the normal view while retaining its content. Archive it once the work no longer requires active management.
Result
The project board and summary show the saved structure, assignments, progress, hours, and costs.
Troubleshooting
If an option is missing, it may depend on your permissions, active modules, or company configuration. Ask an administrator to review your access rather than repeating the task or choosing an unsuitable alternative.
