Before you start
The Customers area provides a central record for each company or person you sell to. It brings fiscal identity, addresses, phone numbers, contacts, notes, activity, opportunities, invoices, and signatures together so sales and administration work from the same information.
Information
Contacts and opportunities require CRM, while invoices require Invoicing. Visible content and actions also follow the relevant Customers, CRM, and Invoicing permissions.
Create a customer
- Open Customers.
- Select Add new customer.
- Enter the name the team will recognise.
- Add the legal name, email, tax ID, and country.
- Select a category and customer stage when used.
- Complete available custom fields.
- Save the customer.
Open the saved record to add its address, phone numbers, contacts, and notes. Keep the familiar name separate from the legal name when they differ.
Search and filter customers
Use Customers to search by name and filter by category, stage, or open opportunities. Summary figures show how many customers are visible and how they are distributed.
Search by name or tax ID before creating a record. Duplicates separate contacts, opportunities, and invoices and make reconciliation harder.
Complete the customer record
The Information tab lets you:
- review identity and fiscal data;
- add or edit the address and phone numbers;
- review primary contacts;
- update custom fields;
- write notes and attach files;
- review activity history and stage changes.
Complete billing data before preparing quotes or invoices. Country and tax ID can affect later fiscal validation.
Add contacts
Open the customer's Contacts tab and select New contact. Record the person's name, job title, and email, then add phone numbers, an address, or custom fields from their profile.
Use contacts for individual people within an organisation. Do not create a separate customer for every person at the same company.
Review opportunities and activity
The Opportunities tab separates open deals from closed history and summarises pipeline, forecast, and stalled work. Open an opportunity to review its lines, stage, value, owner, and activities.
The Activities tab contains follow-up linked through the customer's contacts. You can filter by status and open each activity to review its plan.
See Opportunities and Sales activities for those workflows.
Review invoices and signatures
The Invoices tab summarises issued documents, payments, and open balance. The Signatures tab shows requests where the customer is a signer.
These views provide a summary. Open the relevant document to send it, collect payment, download it, or review signers.
See Invoices and Electronic signatures for the full workflows.
Warning
Avoid deleting customers with history. Invoices may prevent deletion, and other related records may lose context. Correct or consolidate data before considering removal.
Result
You can verify the result in your personal area or through the status described above.
Common problems
If an option is missing, it may depend on your permissions, the active modules, or company configuration. Ask an administrator to review access; you do not need to repeat the task or choose an unsuitable alternative.
