Record revisions and prepare salary tables

Record individual changes and prepare effective-dated bands, supplements, and amounts. This article is for people who configure or administer this feature.

Before you start

Talento turns information that is often scattered across spreadsheets, documents, and isolated decisions into a connected system. You can define how work is organised, assign a contract to each employee, prepare effective-dated salary structures, and retain every compensation revision in their history.

The aim is not merely to store a salary. By connecting job positions, contracts, and salary tables, you can:

  • apply consistent criteria to people doing comparable work;
  • prepare future reviews without changing current remuneration;
  • check who a new table will affect before applying it;
  • explain where each amount came from and when it took effect;
  • reduce errors involving legal entities, currencies, working time, seniority, or classification;
  • provide better data for cost reports, job valuation, and pay equality.

Information

This guide is for administrators, HR teams, and managers with authorised access. Employees do not manage their contracts or salaries through this workflow. What each manager can review or change depends on their permission and employee scope.

Salary tables let you prepare collective agreements, internal bands, or compensation policies by legal entity and currency. Read access allows viewing; edit access allows preparing drafts; manage access allows publishing and applying revisions.

Record compensation revisions without losing history

For an individual change, open the contract's compensation section and select Add revision. Enter:

  • effective date;
  • new annual gross salary;
  • reason or notes.

Talento retains the author, date, workload percentage, and currency with the revision. You can schedule a future date; the salary shown as current changes when that date arrives.

Use a manual revision for an individual decision. If the change comes from a collective agreement, band, or policy that affects several people, use a salary table to compare and apply the same criteria with a complete audit trail.

Create a salary table

In Salary tables, create a container with:

  • a recognisable name and code;
  • legal entity;
  • currency;
  • a description of the collective agreement, group, or policy;
  • active or inactive status.

The legal entity and currency are locked once a published version exists. This prevents a later change from altering the meaning of the entire history. Create another table if you need a different scope or currency.

The table does not store amounts directly. It stores them in effective-dated versions, allowing you to review the current version, prepare a future version, and retain previous versions.

Define bands, supplements, and amounts

Create a draft version and add its rows. There are two types:

  • a base band provides the main range and is required for publication;
  • a supplement adds another concept when the contract meets its conditions.

Each row can be restricted by professional group, job position, and seniority range. Seniority can be calculated from the start of employment with the company or from the current contract. Leaving an association blank makes the row more general.

When several bands could match, Talento gives priority to the most specific: job position first, then group, and finally the narrowest seniority interval. Even so, two equally specific base bands cannot be published because they would produce an ambiguous result.

Within each row, add one or more amounts:

Rule What it does
Salary concept Identifies the remuneration component represented by the amount.
Frequency Interprets the value as annual, monthly, per payment, or hourly.
Minimum, reference, and maximum Defines the range and, where present, the proposed target.
Payments per year Annualises an amount defined per payment.
Prorate by workload Adjusts the amount to the contract's workload percentage.
Include in annual gross Determines whether the amount contributes to the proposed gross salary.

Monthly amounts are annualised over 12 months, while amounts defined per payment use the stated number of payments. Hourly amounts appear in the detail but are not added to the proposed annual gross salary.

Warning

A version can be published only if it contains at least one base band, every row has valid amounts, and there are no ambiguous base bands.

Import a salary table from Excel

In a draft version, select Import XLSX. You can download Talento's template or map an existing workbook.

  1. Upload an XLSX file of up to 5 MB.
  2. Choose the worksheet and review the detected sample.
  3. Select the format of the region you are importing.
  4. Map the name, group, job position, seniority, and concept columns.
  5. Add all the required regions.
  6. Validate the normalised preview.
  7. Correct errors and review warnings.
  8. Save the validated data to the draft.

Uploading and mapping the workbook does not change the version yet. Talento creates rows and amounts only after successful validation and final confirmation. Published versions cannot accept imports.

The template works best when it uses stable codes and names that already exist within the same legal entity. If a group, position, or concept cannot be matched, correct the source or mapping instead of creating duplicates to bypass validation.

You can check the result on the settings page, in the relevant list, or in the status described in the steps above.

Common problems

If an option is missing, check the active module, the specific permission, and the record scope. If the settings are correct and the problem continues, keep the message shown and contact support.
