Before you start
Approval rules determine who can approve requests of a particular type. You need permission to manage settings; adding or removing conditions also requires administrator access.
Before creating a rule, describe the control you want in one sentence. For example, "line managers approve absences" or "the line manager and Finance approve expenses". This helps distinguish a normal condition from an automatic exception.
Create an approval rule
Open Approval rules, select New rule, and enter a name that describes the process rather than a person, such as "Expense approval". The editor keeps the selected section in the URL, so you can move freely between Basics, Applies to, Approvers, and Review.
Save the basics to enable the remaining sections. The rule stays in Draft and grants no approval authority until you add at least one valid responsibility and activate it from Review.
Choose the resource type
Select the process to which the rule applies. Available types include:
- absences;
- clock-in entries;
- reviews or surveys;
- expenses;
- reschedules;
- tasks;
- purchase orders;
- quotes.
Create a separate rule for every type that needs control. Confirm the resource before saving: the type determines which requests are affected and should not be chosen merely because its name looks similar.
Information
Applies to can limit which employees the rule affects. With no limits added, it applies to All employees. Use it to separate groups with different policies, not as a replacement for feature permissions.

You can check the result in the team view or in the status described in the steps above.
Common problems
If an option is missing, it may depend on your permissions, active modules, or company settings. Ask an administrator to review your access; you do not need to repeat the task or choose an option that does not fit.
