Configure approvers and automatic behaviour

Create safe conditions for hierarchical approvers or named employees. This article is for people who configure or administer this feature.

Before you start

Each condition represents a responsibility that must take part in the workflow. Add only conditions that correspond to a real decision, and ensure the organisation structure has the relevant managers assigned.

Add an approval condition

In Approvers, select Add approver. Choose the responsibility type and whether that approver may finish the request alone.

In a manual workflow with several conditions, add one for each responsibility that must approve. Avoid duplicate conditions: they add no control and can make the number of expected approvals differ from the real process.

Choose the approver

You can select:

  • Line manager: the requester's direct manager.
  • Any superior: the direct manager or any manager above them in the hierarchy.
  • Team manager: the manager of the requester's team.
  • Office manager: the manager of their office.
  • Specific employee: a named employee with access to the approval scope.

The first four options are resolved from the requester's current record and organisation structure. If a manager is missing from the office, team, or reporting line, that condition cannot find the expected approver.

Use Specific employee for a stable cross-company function such as Finance or Purchasing. If it relies on an individual who may change, record who must update the rule when that person changes.

Decide whether a condition approves automatically

Can this approver finish the request alone? means that when a person matching that condition approves, the request can be approved without waiting for the remaining manual conditions. It does not mean that Talento approves without a human action.

Use it only for a person or responsibility with enough authority to close the whole workflow, such as an exception explicitly approved by the company.

Important

Do not enable automatic approval as a shortcut in a workflow with several controls. It can bypass the remaining manual approvals. If every condition must take part, leave it disabled on all of them.

Administrators can approve regardless of the hierarchical condition. Restrict this access and do not use it as a substitute for a correctly configured rule.

You can check the result on the settings page, in the relevant list, or in the status described in the steps above.

Common problems

If an option is missing, check the active module, the specific permission, and the record scope. If the settings are correct and the problem continues, keep the message shown and contact support.
