Test and maintain approval rules

Validate the workflow with real cases and change rules without stranding requests. This article is for people who configure or administer this feature.

Before you start

A correct rule depends on data that changes: managers, teams, offices, active employees, and visibilities. Include it in reviews of organisation and permission changes.

Test a rule before publishing it

Complete the rule while it remains in Draft. In Review, check that the basics and approvers are marked ready. If another active rule uses the same request type, Talento shows an informational warning without changing the current priority between specific and general rules.

Test the workflow with a request representing a real employee:

  1. confirm that the rule applies to their group;
  2. verify that every expected approver can find and approve the request;
  3. confirm that an unauthorised person cannot approve it;
  4. validate the outcome when one condition rejects it;
  5. where an automatic condition exists, prove that its approval closes the workflow at the intended point.

Repeat the test for an employee in another office or team when the rule depends on the organisation structure.

When the check is satisfactory, select Activate rule. Only active rules participate in new approval checks.

Change or retire a rule safely

Before changing approvers, removing conditions, or deleting a rule, review pending requests for that resource. Saved changes to an active rule take effect immediately for later checks and can make the workflow differ from the one in place when a request began.

If you need to prepare a change without applying it yet, select Deactivate in Review, make the changes, and activate the rule again when it is ready. An incomplete active rule that already existed is not disabled automatically, but appears as Needs attention.

To replace a specific employee, update the condition and test a new request. For a complete policy change, finish or review pending cases first and communicate the date from which the new rule applies.

Warning

Deleting a rule also deletes its conditions. Keep a written record of the approved policy and verify the process afterwards; the rule name alone does not document who could approve.

You can check the result on the settings page, in the relevant list, or in the status described in the steps above.

Common problems

If an option is missing, check the active module, the specific permission, and the record scope. If the settings are correct and the problem continues, keep the message shown and contact support.
