Configure absence categories

Create categories and define how they use available time. This article is for administrators.

Before you start

Confirm the internal policy the category should represent: who can use it, whether it uses an allowance, and how its duration is calculated. Changes affect what people can request and how they interpret their balances.

Create and maintain categories

  1. Open Absence categories.
  2. Select Add a category.
  3. Enter a name and description that explain when to use it.
  4. Choose a colour and icon.
  5. Configure the calculation rules and save.
  6. Deactivate the category when it should no longer be used for new requests.

Decide how days are counted

Review each option before saving:

  • Deduct available days determines whether it uses an allowance.
  • Count calendar days includes the entire period instead of applying the work calendar.
  • Minimum duration limits the smallest fraction of hours that can be requested.
  • Pending recovery records time that must be made up under company policy.

When an absence with Pending recovery is approved, subsequently approved additional time first offsets the oldest outstanding recoveries. Only the excess increases the overtime balance.

Warning

Confirm how existing records should be treated before changing a rule used by earlier requests.

Outcome

The category will appear in forms for people with access, and Talento will apply its rules when calculating new requests.

Common issues

  • The category does not appear: check that it is active and the employee has access to Absences.
  • The allowance is not calculated as expected: review the work calendar, working day, and deduction rules.
  • Several categories have similar names: clarify or deactivate the old category to prevent mistakes.
