Record received invoices

Before you begin

The Purchase invoices area brings together documents received from providers. You can record their amount and dates, retain the original file, and later find them by period or provider.

This section is a straightforward register of received documents: it does not break invoices into lines or taxes and does not support partial payments. Record the total you need to consult and use notes for additional context.

Create a purchase invoice

1. Open Purchase invoices.
2. Select New purchase invoice.
3. Choose the provider.
4. Enter the issue date and total amount.
5. Add a due date when payment timing needs to be tracked.
6. If already paid, enter the payment date.
7. Add notes that make the document recognisable.
8. Save the invoice.

If the provider is missing, confirm that its record exists and is accessible. See Providers to create or complete its details.

Attach the received document

You can attach the invoice file in the form. Use a legible copy and confirm that it matches the provider, date, and amount you have just recorded.

The document appears in the invoice detail. If it is missing or needs to be replaced, open Edit, select the correct file, and save the changes.

Record the document and its key details together. This avoids entries that cannot later be checked against the original invoice.

You can confirm the result in your personal area or in the status described in the steps above.

Common problems

If an option is missing, it may depend on your permissions, active modules, or company configuration. Ask an administrator to review your access; you do not need to repeat the task or choose an unrelated alternative.
