Before you start
Onboarding brings together the steps that need to happen before and after an employee joins the company. A workflow defines the actions, their timing relative to the contract start date, the responsible people, and any notifications or documents. When a process is created, Talento calculates the actual dates from the contract start date.
New employees can follow their own action list. Managers and administrators see onboarding processes within their scope and can validate the steps assigned to them.
Create an onboarding workflow
- Open Onboarding Workflows.
- Select Add new onboarding workflow.
- Enter a name that identifies when the workflow should be used.
- Save the workflow.
- Configure its visibility for the appropriate employees, teams, or offices.
When several workflows are available, Talento selects one according to its scope. Avoid ambiguous overlaps between workflows intended for the same population.
Add actions to a workflow
Open the workflow and select Add new action. For each action, define:
- a clear name and instructions;
- whether it occurs before or after the start date;
- the offset in days, weeks, or months;
- who will be responsible;
- whether Talento sends a notification;
- whether the step requires approval;
- any custom email content;
- a published signature template when a document must be generated.
Talento copies these definitions into the employee's process. Later edits to the workflow do not rewrite an onboarding that has already been generated.
Generate onboarding when adding an employee
When creating the employee account:
- enter the correct start date, job position, and organisational relationships;
- enable the option to create onboarding;
- finish creating the employee;
- check the process in Employee onboarding.
Talento looks for a workflow visible to the employee and generates its actions in the background. If no process appears, check the workflow, its visibility, and the option selected while adding the employee.
Warning
Test dates, assignments, emails, and documents before using a workflow with real employees. A configuration error is copied into every action in the generated process.

You can check the result on the settings page, in the relevant list, or in the status described in the steps above.
Common problems
If an option is missing, check the active module, the specific permission, and the record scope. If the settings are correct and the problem continues, keep the message shown and contact support.
