Coordinate an employee's departure

Review processes for your team, follow their actions, and validate each step. This article is for managers acting within their team or management scope.

Before you start

Offboarding coordinates the work around the end of an employment relationship: returning company equipment, removing access, completing documents, communicating with the right people, and other steps defined by the company.

Talento generates the process from an employee's contract end date and an applicable workflow. Actions can be scheduled before or after that date and assigned to different responsible people.

Information

Employees who are leaving do not currently have a personal Offboarding page. Managers and administrators track the process, and the company decides how to communicate any actions the departing employee must complete.

Review active offboarding processes

  1. Open Employee offboarding.
  2. Review each employee's end date and next step.
  3. Prioritise overdue and upcoming actions.
  4. Open a process to review its complete journey.

You only see employees within your onboarding and offboarding management scope. If an expected employee is missing, review your permissions and that employee's contract.

Review and update an action

Each action shows its date, responsible person, instructions, and status. Open it to review comments and attached files.

If you are responsible for the action or have administrative access:

  1. confirm that the task has been carried out;
  2. review the required documents or evidence;
  3. change the status to Completed, Approved, or Discarded, as appropriate;
  4. add a comment when the decision needs context.

Use Discarded only when the action does not apply. If it is waiting for another person or its scheduled date, keep the status that accurately reflects the situation.

Warning

Do not approve access removal or equipment returns without verifying them. These actions can affect company security and assets.

Coordinate sensitive information

An offboarding process may contain contractual reasons, documents, and confidential decisions. Limit comments and files to people who need to act, and use required internal channels for legal or security matters.

Before the end date, confirm at least:

  • who will communicate the departure;
  • when access must be removed;
  • which equipment must be returned;
  • which documents or signatures remain outstanding;
  • who will take over important knowledge and open work.

Outcome

The process will show the current state of each action and provide a clear view of what remains before and after the employee's end date.

Common issues

If an option is missing, it may depend on your permissions, active modules, or company configuration. Ask an administrator to review that access; you do not need to repeat the task or choose an unsuitable alternative.
