Configure offboarding processes

Prepare workflows and generate a process when a contract ends. This article is for people who configure or administer this feature.

Before you start

Offboarding coordinates the work around the end of an employment relationship: returning company equipment, removing access, completing documents, communicating with the right people, and other steps defined by the company.

Talento generates the process from an employee's contract end date and an applicable workflow. Actions can be scheduled before or after that date and assigned to different responsible people.

Information

Employees who are leaving do not currently have a personal Offboarding page. Managers and administrators track the process, and the company decides how to communicate any actions the departing employee must complete.

Create an offboarding workflow

  1. Open Offboarding Workflows.
  2. Select Add new offboarding workflow.
  3. Enter a name that identifies the type of process.
  4. Save the workflow and configure its visibility.

Visibility allows different workflows to apply to different groups. Keep one general workflow only when its actions genuinely apply to everyone.

Add actions to an offboarding workflow

In the workflow detail, select Add new action and define:

  • the name and instructions;
  • whether it occurs before or after the contract end date;
  • the offset in days, weeks, or months;
  • the responsible person, selected directly or through an organisational relationship;
  • whether Talento sends a notification;
  • whether the step requires approval;
  • a custom email or signature document, where applicable.

When the process is created, dates falling on a weekend move to the next working day.

Schedule security and handover actions with enough notice. Actions that must happen on the final day can use an offset of zero.

Generate offboarding from a contract

To create the process:

  1. open the employee's contract;
  2. enter an end date later than the start date;
  3. select the reason for ending the contract;
  4. enable the option to create offboarding;
  5. save the contract;
  6. check the process in Employee offboarding.

Talento does not create offboarding when the employee has a later contract. It also cannot create the process if it finds no visible workflow that applies.

Tip

Review the generated process straight away. A workflow provides consistency, but access, assets, and handover needs can still vary by employee and job position.

Keep workflows current

Review actions regularly with the relevant departments. Changes to a workflow do not replace actions in processes that already exist, so review active offboardings separately when a change is urgent.

Outcome

The workflow will be available to its audience, and an applicable process will appear under Employee offboarding when it is generated from the contract.

Common issues

If an option is missing, check the active module, specific permission, and record scope. If the configuration is correct and the problem continues, retain the displayed message and contact support.
