Before you begin
The Items area is the shared catalogue of products, services, and resources. When you select an item in a quote, order, invoice, or another workflow, Talento reuses its usual name, price, and tax to reduce repeated entry and keep information consistent.
An item can also contain a category, description, codes, team, office, images, custom fields, visibility, booking availability, and stock control.
Create an item
- Open Items.
- Select New item.
- Enter a clear name and useful description.
- Add a barcode or serial number when used.
- Enter the unit price and category.
- Assign a team or office when helpful.
- Configure bookings, stock, and tax for the intended use.
- Save the item.
Name and unit price are required. A category can also supply a default tax.
Configure price and tax
When editing the item, open Price and taxes to update the unit price. You can:
- use the category's default tax;
- set a specific tax for this item;
- clear the item-level tax so it inherits the category value again.
Documents use these values as starting suggestions. Review each transaction before issuing it because a later catalogue change does not replace the need to verify tax and price on the document.
Add images and custom fields
Use Images to upload multiple files, select the main image, and remove obsolete ones. The main image represents the item wherever a preview is shown.
Use Custom fields for additional information that administrators have configured for the item's category.
Warning
Do not upload confidential or personal information when the item is visible to a broad audience.
Create and maintain item categories
Administrators can open Item types to group products or services and apply consistent values:
- Select Add a new item type.
- Enter a clear name and an optional internal description.
- Choose a default tax when items of this type usually share one.
- Assign a recognisable colour.
- Save it and check the type when creating or editing an item.
The category tax is offered as the default. Each item can use a different tax or have no item-level tax, depending on its configuration. Always check the sales or purchase document before issuing it.
Do not delete a category without first checking which items use it. If Talento prevents deletion, reassign or review the associated items instead of creating a duplicate category.
Define custom fields by category
In the category form, use Item custom fields to request information only for items of that type:
- Select Add field and enter a label people will understand.
- Choose the input type.
- Make the field required when the information is essential.
- Add options for a single- or multiple-choice field.
- Arrange the fields and leave active only those that should be shown.
- Save the category and test the form for an item of that type.
Once a field contains values, Talento prevents its type from being changed to protect existing data. Deactivating it preserves its values but hides it when items are edited. Before deleting a field or option, confirm whether that information must be retained for reporting, exports, or audit history.

Common problems
If an option does not appear, it may depend on your permissions, enabled modules, or company configuration. Ask an administrator to review your access; you do not need to repeat the task or choose an unsuitable alternative.
