Configure access, bookings, and stock

Control who can find items and manage availability, inventory, and imports. This article is for people who configure or administer this feature.

Before you begin

The Items area is the shared catalogue of products, services, and resources. When you select an item in a quote, order, invoice, or another workflow, Talento reuses its usual name, price, and tax to reduce repeated entry and keep information consistent.

An item can also contain a category, description, codes, team, office, images, custom fields, visibility, booking availability, and stock control.

Define visibility

New items begin visible to the whole account. Use Visibility to limit an item to specific employees, teams, offices, companies, or roles, or to exclude audiences.

Visibility controls who can find the item but does not replace the relevant module permission. Check both when someone cannot see an item.

Enable an item for booking

Under Bookings, enable Available for booking when the item is a resource people can reserve. Reservable items need an office so Talento can place them in the relevant calendar.

Enable and adjust stock

Enable Track stock for this item when you want to track inventory. Choose the scope:

  • Global stock, for one company-wide balance;
  • Stock by office, for separate balances at each location.

In Stock, record a manual entry or removal with the quantity, office where relevant, and an explanatory note. You can also review:

  • available stock;
  • consumed stock;
  • stock awaiting confirmation;
  • movement history and origin.

Purchase orders create pending incoming movements and confirm them when the material is received. Sales invoices can do the same for outgoing movements when issued.

Warning

A manual adjustment changes available stock. Explain stocktakes, breakages, returns, and other corrections so the movement remains auditable.

Import items from CSV

  1. Open Import items.
  2. Prepare a CSV with columns in this order: name, price, category, serial number, barcode, description, tax.
  3. Ensure name and price are present.
  4. Upload the file.
  5. Review created items and row-level errors.

Talento may create a missing category from the value in the file. If a tax does not match, Talento uses the category tax when available. Test a small sample and review the result before importing the full catalogue.

Result

You can confirm the result on the settings page, in the list, or in the status described in the steps above.

Common problems

If an option does not appear, check the enabled module, the specific permission, and the record scope. If the configuration is correct and the problem continues, keep the message shown and contact support.
