Record and track payments

Add payments and use filters to identify invoices that remain outstanding. This article is for people who carry out this task.

Before you start

The Invoices area lets you prepare and issue sales invoices, download their PDFs, and record money received. It also retains the status and history of every invoice, clearly separating drafts from issued, corrected, or cancelled documents.

You can search by period, status, customer, item, or invoice type. Visibility controls which people, offices, teams, or roles can find and open each invoice.

Record a payment

You can add one or more payments once an invoice has been issued:

  1. Open the invoice detail.
  2. Select New payment.
  3. Enter the amount and the date it was received.
  4. Select a payment method if your company has configured categories.
  5. Save the payment.

Talento shows the paid and outstanding amounts. Once recorded payments reach the invoice total, it sets the paid date. If you delete or correct a payment and the total becomes incomplete again, the invoice is no longer considered fully paid.

You can edit or delete a payment to correct its amount, date, or category. Keep instalments as separate payments so their dates and methods remain accurate.

Search and review invoices

Use the list filters to focus on the invoices you need:

  • Period or date range.
  • Status: draft, issued, corrected, or cancelled.
  • Customer.
  • Included item.
  • Invoice type.

The result shows both the number of invoices and the total value of the filtered set. Open any row to review the complete document, its payments, and the available actions.

Result

The invoice detail shows the amount paid, the amount outstanding, and the payment history.

Troubleshooting

If an option is missing, it may depend on your permissions, active modules, or company configuration. Ask an administrator to review your access rather than repeating the task or choosing an unsuitable alternative.
