Before you begin
The Employees area contains the records of people working for the company. Use it to review their status, add new employees, and maintain information such as their team, office, contract, schedule, and permissions.
What you see depends on your role, permissions, and employee scope. A manager may see only their team, while administrators can have broader actions for maintaining records.
Information
The employee record connects many Talento workflows. Accurate team, office, manager, contract, and schedule data prevents unexpected results in permissions, calendars, and reports.
Import employees from a file
When you need to create or update several employees:
- Open Import employees.
- Download and use the template provided on the page.
- Complete the columns without changing their structure.
- Decide whether organisational values that do not yet exist may be created and whether invitations should be sent.
- Upload the file and review the import result.
Correct the records identified and reimport only what is needed. Then check a sample of employee records, especially email, office, team, manager, start date, and working time.
Warning
An import can affect many employees. Test a small file first and keep a copy of the original before processing the full set.
Payroll import is a separate process. Use that page only for payroll documents, not to create employee records. See Payroll to prepare the pay period, distribute documents, and review access.
Export the employee list
Use Export from Employees to download the CSV available to your current scope. The file can contain personal data and reflects only the employees your account allows you to access.
Store it securely, limit its distribution, and delete temporary copies when they are no longer needed.
Archive or reactivate an employee
Archiving removes someone from daily active workflows without deleting their history:
- Open the correct employee record.
- Select the archive action.
- Enter the relevant date and confirm.
- Check that the employee appears under Archived.
An archived employee no longer appears as active, but their historical records are retained. If they return to the company or were archived in error, find them in the archived list and use the reactivate action.
Important
Confirm the employee's identity and the date before archiving. This action affects their access and presence in current Talento workflows.
If Talento blocks archiving an employee required for account administration, transfer that responsibility to another authorised person first.
Result
You can confirm the result on the settings page, in the list, or in the status described in the steps above.
Common problems
If an option does not appear, check the enabled module, the specific permission, and the record scope. If the configuration is correct and the problem continues, keep the message shown and contact support.
