Before you begin
The Employees area contains the records of people working for the company. Use it to review their status, add new employees, and maintain information such as their team, office, contract, schedule, and permissions.
What you see depends on your role, permissions, and employee scope. A manager may see only their team, while administrators can have broader actions for maintaining records.
Information
The employee record connects many Talento workflows. Accurate team, office, manager, contract, and schedule data prevents unexpected results in permissions, calendars, and reports.
Create an employee
- Open Employees and select Add employee.
- Enter at least the name, email, and any other required fields shown on the form.
- Choose the language, team, office, and manager where applicable.
- Add the start date and available initial contract or working-time information.
- Decide whether to create an onboarding process and whether Talento should send an access invitation.
- Review the information and save.
Talento creates the employee record and associated login. If you send the notification, the employee receives sign-in instructions; otherwise, you can send them later.
Search active, onboarding, and archived employees by name and email before creating a record. This avoids duplicating someone who is already in Talento.
Complete and maintain the employee record
After creation, open the employee and review each relevant tab:
- under Basic information, maintain the name, email, language, time zone, office, team, and manager;
- under Personal data, record only the information the company requires;
- under Contract, add dates, category, job position, working time, and other applicable conditions;
- under Schedule, assign the correct working calendar;
- under Permissions, review the access groups assigned to the employee.
Save each area after making changes. Updates to the team, manager, contract, or schedule can affect other workflows and reports.

Tip
For a new starter, complete the organisational structure, contract, and schedule first. Then review permissions and onboarding processes.
Resend access to Talento
If the employee did not receive their invitation or has not activated their account:
- Find them under Employees.
- Open the action menu on their row.
- Select the option to resend the activation email.
- Ask them to check their spam folder as well.
Before resending, confirm that the email address on their record is correct. Someone who can already sign in normally does not need a new invitation.
Result
You can confirm the result on the settings page, in the list, or in the status described in the steps above.
Common problems
If an option does not appear, check the enabled module, the specific permission, and the record scope. If the configuration is correct and the problem continues, keep the message shown and contact support.
