Design a useful field

Define the area, purpose, and data type before collecting information. This article is for managers acting within their team or management scope.

Before you start

Custom fields add company-specific information to supported forms. You need permission to manage settings.

Before creating one, confirm that the information does not already have a standard field. Decide who will maintain it, which decision it supports, and how long it needs to be retained. Avoid collecting personal information that is not necessary.

Choose the field area

The area determines the type of record where the field appears. You can choose:

  • employees;
  • item categories;
  • customers;
  • suppliers;
  • contacts;
  • leads;
  • opportunities;
  • CRM tasks.

Choose the record that owns the data, not the page where you expect to view it. For example, a stable customer classification belongs to the customer even if it is later used while preparing an opportunity.

Warning

The area is locked after the field is created. If you choose the wrong one, you must create another field and transfer the data through a controlled process.

Choose the data type

Select the type that best represents the value:

  • Boolean for yes or no;
  • Date for a specific day;
  • Time for a time of day;
  • Short text for names, codes, or brief answers;
  • Long text for notes;
  • Single selection for one choice;
  • Multiple selection for several choices;
  • Number for quantities that need to be compared;
  • Currency for monetary amounts.

Do not use text for data that needs consistent validation or processing. A selection catalogue prevents variants caused by abbreviations, capitalisation, or typing mistakes.

The type can be changed while the field has no values. Once it has been used, Talento locks the type to prevent incorrect interpretation or data loss.

Use the editor preview to check how the control will appear before saving. For selection fields, confirm that labels are clear and at least one option is available before activation.

Result

The new field appears in the selected area with its chosen type; the area remains fixed after creation.

Troubleshooting

If an option is missing, it may depend on your permissions, active modules, or company configuration. Ask an administrator to review your access rather than repeating the task or choosing an unsuitable alternative.
