For administrators

Configure the CRM

Define stages, categories, custom fields, and automations that match the company's process. This article is for people who configure or administer this feature.

Contents

Before you start

The CRM brings lead capture and sales follow-up together across leads, customers, contacts, opportunities, and activities. Its dashboard turns those records into priorities so the team can see what needs attention, which deals are moving, and where the pipeline is slowing down.

Information

What you see depends on the subscribed modules, your CRM and Customers permissions, and the records available to you. Two people can legitimately see different totals.

Configure stages and categories

Open CRM settings to maintain shared options:

Order stages as the team actually uses them. Only set opportunity probabilities and inactivity thresholds once their meaning is understood consistently.

Add custom fields

Use CRM custom fields for company-specific information on leads, customers, contacts, opportunities, activities, and providers.

Before creating a field, decide who fills it in, when it is needed, and what decision or workflow uses it. Avoid duplicating standard fields and prefer selectable options when answers must be comparable.

Create an automation

  1. Open CRM automations.
  2. Select New automation.
  3. Choose its triggering event and owner.
  4. Add conditions that limit when it runs.
  5. Define one or more actions.
  6. Review the complete summary.
  7. Save and activate it when ready.

Automations can create activities, change owners or stages, and apply other related changes to leads and opportunities.

Warning

An active rule runs whenever its event and conditions match. Test it with a controlled record, avoid rules that trigger each other, and review execution history before widening its scope.

Result

You can verify the result on the settings page, in the list, or through the status described above.

Common problems

If an option is missing, check that the module is active and that you have the required permission and record scope. If the configuration is correct and the problem continues, keep the message shown and contact support.
