Before you start
A booking calendar turns the availability of one or more hosts into appointment times that guests can reserve from a public page. Use one for interviews, customer meetings, office hours, or any appointment where choosing an available time should not require several messages.
Guests do not need to sign in. The calendar manager decides the duration, how far in advance people can book, which hosts can receive reservations, and whether requests are approved automatically or reviewed first.
You need booking-calendar edit permission to create or change these calendars.
Create a booking calendar
- Open Booking calendars.
- Select New calendar.
- Enter a clear name and the appointment duration.
- Choose the host-assignment mode.
- Decide whether requests are approved automatically or remain pending.
- Choose the public-page theme and save.
Talento creates the calendar with initial settings that you can refine in the editor tabs. Its public address uses the calendar's unique identifier.
Under Basic information, activate or deactivate the calendar and choose a public or secret link. A secret link still works for people who know the exact address, but it is not offered as a public company calendar.
Information
An inactive calendar does not accept new reservations, even from someone who kept its link. Preview the public page before activating it.
Define availability
Under Availability, configure:
- the duration of each appointment;
- how frequently start times are offered;
- the minimum notice required before booking;
- how many days ahead guests can see;
- preparation time before and after an appointment;
- the time zone;
- the schedule category used to calculate host availability.
The schedule category connects the booking calendar to each host's working hours. Existing reservations and other busy periods may also remove times from the public page.
Warning
Check the time zone before sharing the link. An incorrect zone can show unexpected times to hosts and guests.
Route reservations between hosts
Under Team and assignment, add the people who can host reservations and choose a routing mode:
- One host: each reservation needs one available host.
- All hosts required: a time is offered only when every required host is available.
- Round robin: Talento rotates reservations between eligible available hosts.
Mark any host who must always attend as required. Before publishing, confirm that the calendar has at least one active host with working availability.
Prepare the public page and questions
Use the editor tabs to:
- write the title and explanation shown to guests;
- add a cover image and select a visual theme;
- create text, selection, rating, or number questions;
- make essential questions required;
- review the complete page in the public preview.
Explain what the guest is booking and what happens after submission. Ask only for information needed to organise the appointment.
Manage requests and reservations
- Open the calendar from Booking calendars.
- Review pending requests on its detail page.
- Approve or decline each request, adding a message for the guest when helpful.
- Use the daily agenda to review reservations for each host.
- Cancel a reservation when the appointment can no longer take place.
You can also create a manual reservation by entering the date, time, hosts, and invitee details. Use this when the appointment was agreed elsewhere but should appear in the same calendar.

You can check the result in the team view or in the status described in the steps above.
Common problems
If an option is missing, it may depend on your permissions, active modules, or company settings. Ask an administrator to review your access; you do not need to repeat the task or choose an option that does not fit.
