Before you start
Resources are shared bookable spaces or equipment, such as rooms, vehicles, or materials. Every resource belongs to an office, which establishes its organisational context.
Create a shared resource
Open Resources and select Add. Enter the name, office, colour, and icon. Enable Strict schedule when a booking should be rejected outside configured availability.
Without strict scheduling, the resource can be booked even when no availability is recorded. Decide the behaviour before publishing it to avoid bookings the team cannot fulfil.
Assign availability to a resource
Open the resource under Resources and select Assign schedule. Choose the schedule category and set the start date and, where appropriate, the end date.
Availability must begin on a future date. Leave the end date blank when the schedule should continue indefinitely. Then open View calendar and check several real dates, including public holidays and shift changes.
Tip
For a strictly scheduled resource, assign and verify the schedule before announcing it to the team. Without valid availability, bookings will be blocked.
Retire a structure item safely
Before deleting a legal entity, office, team, or resource:
- review the employees and records that depend on it;
- move child offices or teams first;
- reassign employees, resources, calendars, and managers;
- check approval rules that use office or team managers;
- verify reports and future bookings.
Talento prevents deletion of offices with employees or resources, teams with employees or subteams, and legal entities with certain related records. Deleting a resource, however, also deletes its bookings.
Important
Do not delete a resource to correct its name, office, or schedule: edit it. Deletion can remove bookings and must not be used as an archive method.

Common problems
If an option does not appear, check the active module, the specific permission, and the record's scope. If the configuration is correct and the problem continues, save the displayed message and contact support.
