Create and configure a chat

Create shared spaces, configure access, and archive them when they are no longer active. This article is for managers working within their team or management scope.

Before you start

The Conversations area brings shared chats and messages attached to work records into one inbox, including news, ideas, customers, opportunities, projects, goals, tasks, candidates, and training needs.

Messages remain attached to their original record. Use the conversation header to open that record and review the rest of its information.

Information

A conversation only appears while you can access its original record. Following or posting in it does not preserve access after your permissions, visibility, or enabled company features change.

Create and configure a chat

You need Chat edit permission to create a standalone space.

  1. Select Create chat.
  2. Enter a recognisable name and save.
  3. Open Edit chat to add a description, adjust its appearance, and configure visibility.
  4. Include only the people, teams, or offices that should be able to read its history.

The creator can edit or delete the chat. Setting an archive date makes it read-only from that date.

Warning

Review existing messages before expanding visibility. People who gain access can read the earlier history.

Result

You can verify the result in the team view or through the status described above.

Common problems

If an option is missing, it may depend on your permissions, the active modules, or company configuration. Ask an administrator to review your access; you do not need to repeat the task or choose an unsuitable alternative.
